Notes for May 17, 2009 meeting

Minutes from April 26, 2009 meeting: Minutes accepted with it noted that the dates were wrong. Note; May 10 meeting was cancelled.

 

Event recap:

Todd and Dale completed “Powder Horn” training and displayed their new “dangles”. 

 

Upcoming Events:

 

1)      Wake boarding/ skiing/ tubing: Date was moved to Sunday June 7th (from Sat 6/6).  We plan to meet at 1pm at Dale’s parents house (2700 Bay Drive, Baltimore MD 21219). Cost TBD; essentially we will be splitting the cost of the wake board and gas.  We need a count of people planning to attend.

 

2)      Basketball/flag football/ soccer Tournament: Event is now scheduled for September 19th.   Flag football was proposed. Field costs are running between $100 and $500.

 

3)      Service project at Fort Smallwood May 9.  Crew members that showed up completed the task faster than the ranger expected.  Thanks to Gabe for setting up this project.

 

4)      Mt. Hebron Adopt a highway is on June 13 not May 9 as states earlier.

 

5)      Shooting Sports: Confirmed for Morning of May 23th   (Memorial weekend) at Camp Spencer.  Cost is 6 per one box of shells (25) plus about $2 for Clay per round.  We will divide up the $25 range fee based on how may shoot.  We will take some archery equipment to set up on archery range if it is open.  Follow-up, as of this writing the event has passed.  Crew members in attendance had a good time shooting clays and archery.  Everyone shot well with high honors going to Zach with a near perfect round or 24/25.

 

6)      White Water Rafting: October 9-11.  Crew viewed brochures and opted to postpone a decision until the next meeting.

 

7)      Spaghetti dinner: Date TBD.  We talked about looking into other venues since Oct 17 in not available at the facility (Jessup Community hall) that Wes proposed. We are considering other dates at the Jessup Hall. Proposed price structure: $8 adult, $7 senior and students with ID, $5 children (2-10).  Ashleigh found out that a temporary (14 day) food certification is $15.  A food service facility permit is about $75.  There are two possibilities for the facility permit.  Ashleigh will verify which one we need.  These fees/permits were for Howard County.  We still need to find out about Anne Arundel County where the Jessup hall is located.  Todd is going to contact Mt. Hebron to see if there hall is available.

 

8)      SCUBA intro scheduled November 19.

 

9)      Car Show possibly in August. No update

 

10)  “Cope Course”: date TBD. Cope course is $200 for a day.  This fee will be split between attendees

 

To Be Done:

1)      CREW IS TASKED TO COME UP WITH MEETING ACTIVITIES!!!!!  Let’s make the meetings fun!!!!  The goal is to have business done in 20-30 minutes and then do the activity to make the meeting more fun and informative. Still need to work on this.  No update.

 

2)      “Super Activity” is being planned for December 26, 2009 to January 2 or 3, 2010 depending on the rates. Dale and Todd are going to see if they can find packages for Colorado or Utah.  Todd checked with the airlines and December 26th appears to be the cheapest (with the exception of the morning of the 25th).  Flights cost for Dec 26th through Jan 3rd were fairly constant.   Dale is waiting for literature from travel agent (first emailed arrived prior to writing minutes). Todd is going to check with AAA for packages.  We also talked about opening up event to other crews and use this event as a fund raiser.  Others would be responsible to obtain air fair and transportation from/to airport.  No updates.

 

3)      We need to work out the logistics for the spaghetti dinner, flag football (soccer?) and basket bingo. 

 

4)      A quote for tee shirts emailed out.  Todd reported the company can print from a graphic which is cheaper that silk screening ($90 set up versus the $210 figure on the quote).  Todd is going to get an additional quote from another company.  No update.

 

5)      Every month Ashleigh wants to set up an activity, a service project and a fundraiser.

 

6)      We need to set up a new date for the Paint Ball activity.  Wes offered another option; instead of going to a center, we could go small scale and use an area by his church.  We would need to borrow or buy guns if we did this option. No update

 

7)      We need to set up a new date for the “Car Wash”.  Don Pablo no longer does this.  Wal-Mart will do a car wash and may even match the funds.   No change

 

8)      We need to set up a new date for “Shadowlands”. No update

 

9)      Ashleigh is going to get prices for wake board rentals and instruction.

 

10)   Todd will see which dates are available for Cope course .

 

11)   The crew wants to contact other crew to set up a network so we can share events.

 

Fundraising:

 

1)      The crew is considering the following fundraisers: restaurants bake sales, basketball tournaments, spaghetti dinners, basket bingo.  Ideas rejected: coffee house, pizza sales, bowling night. No update.

 

2)      Todd is going to talk to Donna (from Powder horn) about doing concessions at the Navy and Terp games. There is a potential to earn $500 or more per game.

 

3)      Wes mentioned that we could do a car show.  This has minimal logistics and good potential to make money.  We could have a popular choice award that would receive a trophy.  We just need to state that that event is “not insured” on the flyers.  August appears to be a good time to have this event.  No update.

 

Service projects:

Wes‘s Pastor said there are plenty of things that can be done around the church including:
1) Extension of the front porch.
2) Landscaping
3) Building of a shed
4) Laying down a laminate floor in the kitchen area
5) The parking lot needs to be leveled (but I am not sure when because of the expense)
Todd said that some of these would make good eagle projects for the several scouts in the troop that are preparing for Eagle.


Announcements:

1)      It was pointed that Meeting dates are scheduled for Mother’s Day May 10th, Powder Horn May 17th and Father’s Day June 21st.  Meetings are scheduled as posted.

 

Possible future activities: splash down, batting cage, paint ball, camping, hiking, mini golf, rappelling, climbing wall, four wheeling (ATV), horseback riding, snowmobiling, kayaking/canoeing, rafting, snow tubing, snow skiing/boarding, water skiing/wake boarding, backpacking, hiking, SCUBA intro (and beyond), shooting, archery.

 

Elections: The crew decided to keep the same people in leadership positions, but we need to set a date for future elections.
