Minutes for January 26, 2010 Committee Meeting

Attendees: Mary Bullinger, Belinda Byrns, Todd Coffelt, Marcelle Coleman, Jim Collins, John Dittman, Andrew Herman, Paul Hartman (late), Mike Holt, Gary Romsaas, Brian Smith (late) Randy Strem, Dale Walker, Howard Warner, Guy Williams. Meeting started at 7:54 pm and ended at 8:50 pm.
Old Business: None at this time.
Previous Minutes: There were no Minutes for the November 16, 2009 meeting. Dale was absent from meeting, so Howard gave a verbal summary as follows: 1) Dale was given the OK to purchase rifles for troop. 2) We appear to be doing the proper amount of fundraising for the troop.
Committee Chair’s Report: Todd wants to start a “mentoring” program for the scouts. He is asking anyone that is NOT interested in becoming a mentor to send an email to him by next Tuesday stating such. He will ask/assign adults to become a mentor for scouts starting next week. John volunteered to be the mentor for Doug and Langston. Mentors of patrol leader are expected to make at least 3 calls each week to their scout to make sure preparations are being made and notices/calls are being sent to scouts for the upcoming troop meetings.
Treasurer’s Report: Presented in writing. Troop has a fair amount of money outstanding due to several activities that have occurred (ski trip-Gary turned over money received at Timberline) or will be occurring in the next couple of months (cabin camping, Pamlico Sea base, etc.) Approximately $114.93 stilled owed to Dale for new troop guns.
Scout Credits: Presented in writing.
Scout Master’s Report: Brian said that he had nothing to report
Green Bar Report: The focus of the upcoming troop meeting will be on outdoor survival; fire building, shelter, food, water, etc. There will be competitions. Todd told the SPL (Chris) that it will be expected for the SPL or a designee to present a report to the committee at future committee meeting. At a minimum, a report should be presented. The report should list the scout POC for upcoming events.
Advancement Chairperson Report: Chartering is complete. Thing were delayed due to the absence of a pastor at Emory Church, our charter organization.
Merit Badge Counselors Report: The troop needs to evaluate/update the Merit Badge Counselor’s list to make sure everything is up to date. The latest version was updated August 1, 2009. Dale will post the new list once it has been updated.
Activities Coordinator: Report submitted in writing by Howard.
1) Klondike is this weekend
2) Scout Sunday is February 7 starting at 10:00 AM at Mount Hebron Presbyterian Church and on March 14 at Emory Church.
3) Cabin Camping February 12-14. We need to work on details.
4) Mall show for troops is February 20. We need to find out if scouts are interested in going.
5) The troop needs updated adult training and vehicle information. Please send the following information to Howard:
-A list of vehicles (make, model) you may use to transport boys and the tag number of each vehicle.
-Driver's license number (and your spouse if they also drive any scouts other than your own kids to any activities other than troop meetings). The year of expiration is also helpful.
-Name of your insurance company.
-Do you meet or exceed BSA insurance minimum requirements (yes/no)
Here are the BSA insurance rules for autos:
All vehicles MUST be covered by a liability insurance policy. The amount of this coverage must meet or exceed the insurance requirement of the state in which the vehicle is licensed. (It is recommended, however, that coverage limits are at least $100,000 combined single limit.) Any vehicle carrying 10 or more passengers is required to have limits of $500,000 single limit.
Note: The Driver Information will be maintained in confidence and will be released only as needed to secure tour permits.
Quartermaster’s Report: Troop has new 3 new .22 caliber rifles. Rifles were on display at meeting. Daniel is going to inspect the chuck boxes prior to the Klondike.
Roundtable Minutes: Submitted in Writing.
Troop Information Manager Report:
1) New web page is up and running “scout759ec.com”.
2) Pictures are currently not available since Kodak changed their access policy. Kodak is now requiring links to be routed via “Face Book.” Dale is going to work with troop historian (Justin) to set a troop “face book” account for this purpose.
3) Pictures are still being requested for posting.
4) New committee officers list is posted on troop web page under “committee documents.’
To do:
1) Get a spare for the trailer. No update
Miscellaneous:
1) The Committee voted to move the committee meetings from the third Monday of the month to the third Tuesday of the month located at Hebron House during the Troop meeting.
2) The pizza fundraiser will be held in May with an early June pickup
3) Additional leader position (including Committee Chairperson) are being required to take “Wagon Wheel”
4) Need to make contact with prospective scouts.
Next committee meeting is scheduled for February 15, starting at 7:45 pm at Hebron House.
