Minutes for November 16, 2010 Committee Meeting

Attendees: Mary Bullinger, Todd Coffelt, Brendan Conway, Alicia Copland , John Dittman, Mary Eubanks, Padraic Gray, Paul Hartman, Andrew Herman, Gary Romsaas, Brian Smith, Randy Strem, Dale Walker, Howard Warner. Meeting started at 7:46 pm and ended at 8:49 pm.
Old Business:
1) October minutes were submitted and approved as written.
2) Troop needs to order more tee shirts for class B. Howard, Mike and Dale researched some companies, design and material. Consensus was to purchase about 100-120 (depending on price break) cotton tees with a new troop design. Dale will get some final prices and email information in a couple of days. Howard suggested that we do not make a purchase until we finish recharting and finalize popcorn sales
New Business:
Roundtable Minutes: Submitted in writing.
Summer Camp Coordinator: No updates.
Quartermaster’s Report. Randy purchased legs to fix one popup and several bags for popups.
Merit Badge Counselors Report: The new Dean of Merit Badges for National Pike District is: Lester Bain, 7003 Deep Cup, Columbia, MD 21045; (H) 410-312-9854; (C) 240-417-4936; email: lester.bain@capitalone.com . Howard sent several emails to Mr. Bain, but nothing much was resolved,
Advancement Chairperson Report: John said everyone needs to make sure their youth protection is up to date. The training is only good for two years now and is required for rechartering. Committee voted (at previous troop meeting) to hold fees to last year’s rates: $50 scout and $16 adult. Two scout are working on scout rank.
Eagle Advisory: Paul needs five more merit badges. Doug has submitted everything.
Green Bar Report: Meeting is this upcoming Sunday. Randy reported that scouts would be performing rope work the first week in December and Luke will be doing a reverence presentation the second week. Unless changed at the Greenbar, the troop holiday party will be December 21. Randy is requesting to be placed on troop yahoo group (Done as of writing).
Scout Master’s Report: Brian wants to keep the first year scouts engaged. Troop is going to form a new scout patrol with a troop guide. Mike will be available to help since popcorn is done. Brian made a purchase on STE and said that the troop has potential to make a fair amount of money if we can convince the troop/crew to use this search engine for online purchases.
High Adventure Chair:
1) Gary is going to reserve a date (probably July 7- 13, 2011) for Northern Tier. We need a deposit of $1300 within 7 days of reservation. We have 3 scouts and 3 adults interested.
2) Timberline is back to original date January 21-23. He sent in a check for 18 after the meeting.
Scout Mentor Coordinator: List of mentors needs to be updated. Roster was sent out with new position.
Activities Coordinator:
1) Battleship camping: we need to establish drivers. Plans are to stop in Philadelphia on way to meet criteria of visiting a federal facility, for “Citizen in the Nation”. Some one will need to go early to get tickets for Liberty Bell and Independence Hall.
2) We could visit a federal facility in DC, possibly in March.
3) Need a poc with the Lockin/Klondike
4) Howard applied for the youth group camping pass.
Treasurer’s Report/Scout Credits: We currently have about $6000 in account, but Mike was issued a check for popcorn for approximately $3900. She will have a formal report next time with all of the activities (popcorn, WOR, Shot gun/archery camping, etc) accounted.
Troop Information Manager Report:
1) Dale had success posting pictures using “Snapfish” on the LRHS choir web page and is considering it for the troop. Still needs to post scout pictures that were received.
2) Troop/crew search engine is up and running. Go to http://www.shoptoearth.net/scout759ec when shopping on line and the scouts will earn money. There is a link and directions on the troop web page.
3) Dale received a $131.28 bill for web service ($119.40) and domain ($11.88). He asked for the troop to deposit the reimbursement into his scout account to be used towards the balance of Timberline trip.
Committee Chair’s Report: Todd talked about adult positions that are currently being held by adults that no longer have scouts in the troop and may be less active in the future. Scouts need to establish when meetings will be held in December and consider if we are going to “adopt a family” for the holiday.
Troop Handbook Review: Committee started to review a revised copy of the troop hand book. The committee passed the preamble page dated 10-19-10 with the change that at least 10 committee members (instead of 50% of registered committee members) are needed to make a quorum for changing the handbook. Todd received no comments with respect to the Handbook after the 10-20-10 revisions. He want to wrap it up at the next committee meeting
To do:
1) Schedule an equipment swap to hand down gear that is outgrown. Mary Eubanks agreed to be the coordinator for the cloths swap box.
2) Order new troop tee shirts.
3) Get award ribbons for mom’s of new scouts.
4) The troop needs updated adult training and vehicle information. Please send the following information to Howard:
-A list of vehicles (make, model) you may use to transport boys and the tag number of each vehicle.
-Driver's license number (and your spouse if they also drive any scouts other than your own kids to any activities other than troop meetings). The year of expiration is also helpful.
-Name of your insurance company.
-Do you meet or exceed BSA insurance minimum requirements (yes/no)
Here are the BSA insurance rules for autos:
All vehicles MUST be covered by a liability insurance policy. The amount of this coverage must meet or exceed the insurance requirement of the state in which the vehicle is licensed. (It is recommended, however, that coverage limits are at least $100,000 combined single limit.) Any vehicle carrying 10 or more passengers is required to have limits of $500,000 single limit. Note: The Driver Information will be maintained in confidence and will be released only as needed to secure tour permits.

Dale was awarded his District award of Merit; received plaque, knot and certificate.
