Minutes for September 21, 2009 Committee Meeting

Attendees:  Mary Bullinger, John Dittman, Sean Eubanks, Dennis Fugate Pat McDermott,  Randy Strem, Dale Walker, Howard Warner

 

Previous Minutes:  August Minutes not presented.  The committee will review next meeting.

 

Committee Chair’s Report:   Pat is going to try to get the banner made prior to the WOR.

 

Treasurer’s Report:  Dennis is waiting for the beach trip checks to come in.  Dennis received confirmation from Timberline Ski resort for the weekend of January 22-24(scouts are also off on the 25). Committee votged voted to have him send in a deposit to secure our reservation.

 

Scout Credits: Presented in writing.

 

Scout Master’s Report:  Brian was not in attendance.

 

Greenbar Report: Sean reported that the scouts were planning the scout meetings for the next month and preparing for the “Prep WOR” this Saturday.

 

Advancement Chairperson Report: Miles earned the Tenderfoot rank.  Justin is ready for his Star Scoutmaster review.  The committee agreed to keep the recharting rates the same as last year pending increases in from National BSA.  The rates used last year for troop registration are as follow: $50 for recharter, $55 for new scout (currently registered in BSA), $75 for new scouts (not registered in BSA) and $11 for adults.  Troop fees will change in accordance with any changes from national fees, if applicable. 

 

Merit Badge Counselors Report:  No update.

 

Quartermaster’s Report: Howard suggested that we use the two lightest propane bottles for the “Prep WOR” and then have them filled before the WOR.

 

Activities Coordinator Report: Submitted in writing.  Highlights are shown below:

1)      White Water trip is October 2-4. Dale is Adult POC Chris is Scout POC.  Trip information was email out Monday September 21st.    Count and a $50 deposit is due September 22.  We only need to talk take the lanterns and small propane bottles for the trip.

2)      Adult archery training is this Sunday September 27 starting at 1pm.  We need adults to attend.  Dale is running the rifle range.  Howard, John, and Dennis can not attend.

3)      Prep WOR is scheduled for this Saturday September 26th. Sean and the scouts are working hard on the “Prep WOR”.  There is a dress rehearsal planned for the Tuesday Sept 22 troop meeting.  So far we have about 12 scouts from 5 pack attending, but more are interested.  Sean wants to make sure we have the activities and manpower to make it a good event.  Some suggestions were: have a tri-fold display, sign-in sheet, offer visits to packs, “Bridge to Scouting”, display table with sashes and Eagle COH candle holders.  Restroom facilities have been secured. Contact has been made with Church and Hebron House contacts and all issues have been resolved.  Sean is looking for someone to run the adult coffee table.

 

4)      DC day trip October 16.  We need adults to assist Todd and Guy.

 

5)      WOR is October23-25.  We need scout and adult POC.

 

6)      Williamsburg trip November 6-8.  Need Scout and adult POC.

 

7)      Cabin has been reserved for February 12-14thDennis needs to send Howard sent in payment of $300.

 

Roundtable Minutes:   Submitted in Writing. 

 

Troop Information Manager Report: 

1)      Yahoo Geocities is closing the free web pages.  Dale is trying to save web pages but is having problems. Committee authorized the move to the yahoo pay site or another site pending the easiest transfer of information.  Dale is still looking into the options.  Howard suggested that Dale contact Scott for some assistance.

 

To do:

1)      Get a spare for the trailer. No update

2)      Todd has the opportunity to have a troop promotional disk/presentation created free of charge. No update.

3)      Sean needs a couple of old tarps and fire barrel (from Dale) for “Prep WOR”.

 

Miscellaneous: Adult picnic is scheduled Oct 10 late afternoon/early evening at the McDermott’s house.  Details and directions are forthcoming.  RSVP requested by October 6th.

                                           

Next committee meeting is scheduled for October 19, 2009 starting at 7:00 pm at Emory Church.
