Minutes for September 21, 2010 Committee Meeting

Attendees: Mary Bullinger, Todd Coffelt, Brendan Conway, John Dittman, Padraic Gray, Paul Hartman, Randy Strem, Dale Walker, Howard Warner,. Meeting started at 8:06 pm and ended at 8:50 pm.
Previous Minutes: August minutes were submitted and approved as written.
Old Business: Howard still needs training and vehicle updates. Specifics are listed under “To Do” section. Effective October1, 2010 you will not be permitted to drive to/from a scout event until vehicle insurance information is provided to troop. Note; a form is now posted on the web page.
We need to get shirts and neckerchiefs from Brian. Update: the troop needs to order more shirts, especially size small.
New Business:
Eagle Project Presentation: The presentation was postponed for 2 weeks.
Quartermaster’s Report. The overall trailer needs to be gone through and organized by the adult quartermaster with the assistance of the scout quartermaster and a handful of other scout. We need to make sure the trailer is in order for the WOR and allow scouts know what is available and where it is located in the trailer. General items noted: propane tanks need to be filled, stove legs need to be with proper stove and one damaged pop-up needs repaired.
Roundtable Minutes: Guy attended the Roundtable, but was not at the meeting. Mary was able to provide a summary from information posted on the District web. Youth leader training is October 15-17. Leave no trace is at Spencer on the same date as WOR. October 11 is Life to Eagle. Gathering of Eagles is November 9th. Religious Award courses are being offered at Bethany United Methodist Church starting October 7.
Summer Camp Coordinator: Troop will be attending Camp Ockanickon next year from July 17-23.
Troop Information Manager Report:
1) Dale is having problems posting pictures/slide show from Kodak to Facebook. Help is requested. Andrew suggested Justin, the scout historian.
2) Troop/crew search engine is up and running. Go to http://www.shoptoearth.net/scout759ec when shopping on line and the scouts will earn money. There is a link and directions on the troop web page.
3) Medical form text and links need to be updated. The Class 3 link accesses the new forms, but the Class 1 and 2 link is not functioning, but is not needed. The youth protection link needs to be updated on the troop site and on the council site. Go to the “My Scouting” tab on the National site for the proper link.
Eagle Advisory: Need letter from Doug. Chris will present project in 2 weeks. Paul gave project to Mr. Keener. Langston needs some updates.
Treasurer’s Report: No update.
Scout Credits: No update.
Scout Master’s Report: Brian was attending to SPL elections.
Green Bar Report: Scouts attending to SPL elections. Green Bar was postponed.
Advancement Chairperson Report: John said everything is ready for the COH
Merit Badge Counselors Report: Howard asked new parents to become merit badge counselors for areas that were of interest to them. The new Dean of Merit Badges for National Pike District is:

John informed the committee that Mr. Bain’s email address has changed.
John will be sending out his new address.
Activities Coordinator:
1) Sean will be unable to continue as activities coordinator due to school. Padriac volunteered to take on the position. Thanks Padriac!!!
2) Preparation is needed for the 100th Anniversary Celebration. Dale handed out packets. Howard sent out an email with projected costs.
3) Deposit was made, but Timberline apparently had an issue recognizing that Sean and Gary are representing the same scout group. Problem has been resolved. Deposits per individual are due soon.
4) We had about 30 adults and 40-45 scouts go through PWOR.
Committee Chair’s Report: Todd plans to revisit the Troop handbook in late September. He also is planning to had out the BSA “Aims and Means of Scouting” handbook that he received during the Woodbadge course.
To do:
1) Schedule an equipment swap to hand down gear that is outgrown. (From June meeting)
2) The troop needs to distribute Class B shirts to the new scouts. Before the meeting, Brian told Dale that the troop needs to order small tee shirts.
3) The troop needs updated adult training and vehicle information. Please send the following information to Howard:
-A list of vehicles (make, model) you may use to transport boys and the tag number of each vehicle.
-Driver's license number (and your spouse if they also drive any scouts other than your own kids to any activities other than troop meetings). The year of expiration is also helpful.
-Name of your insurance company.
-Do you meet or exceed BSA insurance minimum requirements (yes/no)
Here are the BSA insurance rules for autos:
All vehicles MUST be covered by a liability insurance policy. The amount of this coverage must meet or exceed the insurance requirement of the state in which the vehicle is licensed. (It is recommended, however, that coverage limits are at least $100,000 combined single limit.) Any vehicle carrying 10 or more passengers is required to have limits of $500,000 single limit.
Note: The Driver Information will be maintained in confidence and will be released only as needed to secure tour permits.
